Discretion is not a feature of our practice — it is the foundation. Here is exactly how we protect client mandates and candidate information throughout every search.

Client Engagement Confidentiality

When a client engages CYPHERIX SYSTEMS LLC for an executive search, all information shared — the mandate details, organizational context, compensation structure, internal performance issues, strategic rationale — is treated as strictly confidential. We do not disclose the identity of client organizations in our external candidate outreach except at the final, agreed-upon stage of an engagement and with explicit client authorization.

Our consultants are bound by professional confidentiality obligations. We do not publish, discuss, or reference active client engagements in any public forum, case study, or marketing material without written client consent.

Candidate Privacy Protection

We do not submit any candidate's name, profile, or curriculum vitae to any client without that candidate's explicit consent. We make this commitment clear at the very first conversation with any candidate. When reaching out to passive candidates (individuals not actively seeking new roles), we protect their identities from their current employers with the same rigor we protect client identities from the market.

Candidate assessments, reference reports, and psychometric profiles are shared only with the client for whom the search is being conducted. They are never repurposed, shared with other clients, or retained beyond the lifecycle of the specific engagement without the candidate's written permission.

We will never contact a candidate's current employer or professional references without the candidate's advance authorization — at every stage of the process.

Data Security & Retention

All client and candidate data submitted to or generated during an engagement with CYPHERIX SYSTEMS LLC is stored in a secure, access-controlled database. Access is limited to the consultant team working on the relevant engagement. All external communications involving candidate or client sensitive information are conducted via encrypted channels.

We retain candidate profiles for a period of three years from the date of last engagement, after which they are securely deleted unless the candidate has specifically consented to longer retention for future opportunity consideration. We do not sell, rent, or otherwise share personal data with third parties.

Off-Limits Commitments

CYPHERIX SYSTEMS LLC maintains formal "off-limits" commitments to our client organizations. For a mutually agreed period (typically 2 years following a completed engagement), we do not approach the placed executive or other individuals within the client organization for alternative opportunities. This commitment is enforceable as part of our engagement agreements and is one of the key governance mechanisms that protect our long-term client relationships.
